Assistant conversations may be stored with a random session identifier so the administrator can understand and follow up on an inquiry.

3. Why we process information

• Respond to insurance, HMO, non-life, car insurance, financial planning, or company coverage inquiries.
• Coordinate requested consultations and schedule confirmation.
• Review financial advisor recruitment applications.
• Maintain inquiry and assistant conversation records, qualify prospective needs, prevent abuse, secure the website, and prepare internal reports.
• Comply with legal, regulatory, provider, and recordkeeping requirements when applicable.

4. Sensitive information and documents

Do not submit passwords, banking or card details, full medical records, government IDs, policy numbers, or policy documents through the general inquiry form or assistant chat. Recruitment documents are stored in a restricted server folder and are accessible only through the authenticated CMS.

5. Assistant and service providers

When Financial Buddy is enabled, chat messages may be sent securely to the website’s configured AI processing service to generate a response. The public website does not expose the private API key. Do not place sensitive personal, financial, policy, identification, or health information in chat.

Information may be shared only when necessary with authorized insurers, HMO providers, recruitment or compliance teams, hosting/email/AI service providers, and professional advisers, subject to proper purpose and applicable safeguards. This website does not sell personal data.

6. Retention

Records are retained only as long as reasonably needed for inquiry follow-up, recruitment screening, legitimate business records, security, or legal obligations. The administrator should periodically review and delete records that are no longer needed.

7. Security

The website uses authenticated administrator access, password hashing, CSRF protection, prepared database queries, restricted upload storage, rate limiting, and security headers. No online system can guarantee absolute security, so visitors should limit the sensitive information they submit.
